Who we are

Truck C.E.O. helps trucking companies keep their drivers', trucks' and company paperwork in order, and helps insurance agents work with them.

What we keep

For a trucking company: its details and FMCSA numbers; its drivers (names, contact details, dates of birth, driver's license details, hire dates); its trucks; the paperwork and photos people upload; accident reports, inspections and maintenance; insurance policies and claims; and a history of every change. For an insurance agency: its people, and the carriers it follows (from FMCSA's public data) with its own notes.

Where it is kept

On Amazon Web Services (AWS) in the United States. Every uploaded file is encrypted on its own, with a key kept in AWS's key service. The database is backed up every night, encrypted, and backups are kept for 30 days.

Who can see it

Each company sees only its own records; the database itself enforces this. Drivers see only their own record and paperwork. Drug and alcohol and Clearinghouse records are seen only by the owner and the people the owner allows. Insurance agencies never see inside a company's account; they see only what a company chooses to share with them when it asks for a quote, while that request is open.

Truck C.E.O. support

To help a company, Truck C.E.O.'s own support staff may open that company's records, and may change them, one company at a time, for a limited time, and only after giving a reason. Every such visit and every change is recorded. Support never sees drug and alcohol or Clearinghouse records.

The AI assistant

Some features use Claude, an AI made by Anthropic: reading a photo or PDF you upload so you do not have to type it, and answering questions in the chat. Only what the task needs is sent. Dates of birth, license numbers, private notes, drug and alcohol and Clearinghouse records and Social Security numbers are never sent. A person always checks and confirms what the AI read before it is saved. Your chats are kept for 12 months, then deleted.

Public data

Truck C.E.O. reads FMCSA's public records about carriers (registration, insurance filings, inspections, crashes, safety measures).

Messages

We send email (and, once registered, text messages) only about your account: sign-up links, reminders, reports and alerts you can switch off.

What we never do

We do not sell personal information, and we do not use it for advertising.

Keeping and deleting

Records are kept while your company uses Truck C.E.O., because driver qualification files have legal keeping periods. After a company leaves, records are deleted when their keeping period ends. Ask us to see or correct what we hold about you.
